Billable Hours & Fee Calculator

Adjust your billing terms and log your sessions below. The final result updates instantly so you can determine the most beneficial contract structure for your client work.

1. Set Your Contract Terms

Every single session rounds up to your designated block increment individually.
Adds all exact raw minutes together first, then rounds the grand total up to the next block.

2. Setup Fee

A one-time fee (e.g. travel, setup, or a "come to you" charge) added on top of the time-based cost, charged once no matter how many sessions are logged.

3. Minimum Fee

This is a floor for the whole project, not per session. Add up every session's time-based cost as usual — if that total comes in under this amount, charge this amount instead. If the time-based total is already higher, the minimum has no effect and you simply charge the calculated total.

4. Log Time Sessions

Total raw time logged: 0 minutes
Math: 0 sessions logged = $0

What This Billable Hours Calculator Does

This calculator turns logged work time into a final billable amount — the number you'd actually put on an invoice. Instead of doing the math by hand, you set your billing terms once (rate, time block size, rounding method, minimum fee, and setup fee), then log each session as you go. The total updates instantly as you type, so you always know what a job is worth before you send the bill.

It's built for anyone who charges by time in blocks or increments rather than a flat rate — think 15-minute increments, hourly rounding, or per-visit minimums — and who sometimes needs to add a flat fee on top or guarantee a minimum charge for smaller jobs.

Who It's Helpful For

How It Works

1. Set your contract terms. Choose your rate per block, how big a block is (from 1 to 60 minutes), and whether each session rounds up on its own or whether all sessions get added together first and rounded once.

2. Add a setup fee, if you charge one. This is a flat, one-time amount — travel, callout, or setup — added on top of the time-based cost no matter how many sessions you log.

3. Set a minimum fee, if you use one. This acts as a floor for the whole project: if the time-based total comes in under this amount, the minimum is charged instead.

4. Log your time sessions. Add a row for each session's raw minutes. Add or remove rows freely — the total recalculates live with every change.

Why Rounding Method and Minimums Matter

The rounding method you choose can noticeably change what you bill. Per-session rounding rounds each individual session up to the nearest block, which tends to favor the person billing when work happens in several short sessions. Cumulative rounding adds up the exact raw minutes across all sessions first and rounds only once at the end, which tends to favor the client since partial minutes across sessions can cancel out the rounding.

A minimum fee protects against underbilling on small or short jobs — useful any time the effort of taking on a job (scheduling, prep, overhead) costs more than a couple of billed minutes would cover. A separate setup fee is useful when there's a real one-time cost involved — travel time, equipment setup, or an initial consultation — that shouldn't be diluted across an hourly rate.

Frequently Asked Questions

Is this billing calculator free to use?

Yes — it's free, with no sign-up required, and nothing you enter is sent anywhere.

Does it save my rates or session data?

No. Everything runs in your browser and resets when you leave or refresh the page.

Can I use it for hourly billing instead of blocks?

Yes — set the block increment to 60 minutes and it behaves as a standard hourly rate calculator.
